How Can Manufacturers Reduce IT Downtime and Keep Production Running?

In manufacturing, downtime is more than an IT problem. When a server, network, application, or critical device goes down, production can slow down or stop altogether.


Manufacturers can reduce IT downtime by focusing on these five areas: identifying critical systems, proactively monitoring technology, strengthening cybersecurity, maintaining reliable backups, and having a clear response plan.


The goal is simple. Find and fix problems before they reach the production floor and have a plan to recover quickly when something does go wrong.


1. Identify the Systems That Could Stop Production


Not every technology problem has the same impact.


There are different types of IT issues that happen to a company, the printer not working is definitely an inconvenience and can impact the work day, however a network failure that halts all production can be detrimental to an entire production line, or more. That’s why it is important to identify the technology your operation depends on every day, and determine what is a disruption in the work day, and what IT issues stop the day all together. 


This could include:


  • Servers and network equipment

  • ERP and inventory systems

  • Production management software

  • Computers connected to production equipment

  • Microsoft 365 and email

  • File storage

  • Internet connections

  • Shipping and receiving systems


Once these systems are identified, your IT provider can prioritize them appropriately.


A useful question to ask is: If our system stopped working right now, how long would it take for production to continue?


For some systems, the answer might be several hours. For others, it could be minutes.


2. Monitor and Maintain IT Before Something Breaks


Waiting for technology to fail before addressing it is one of the easiest ways to create unnecessary downtime.


A proactive IT strategy focuses on identifying warning signs before they turn into larger problems.

3. Protect Production From Cybersecurity Incidents


Not all downtime comes from equipment failures.


A ransomware attack, compromised account, or other cybersecurity incidents can make important systems unavailable and potentially bring parts of an operation to a stop.


Manufacturers should use multiple layers of security rather than relying on one product to protect everything.


That commonly includes:


  • Multi-factor authentication

  • Endpoint security

  • Email protection

  • Regular security updates

  • Employee cybersecurity training

  • Access controls

  • Network monitoring

  • Tested backups


Employees are also an important part of the process.


For example,  if someone in accounting receives a fake invoice, or clicks on a bad link, all of your customers' financial information could be compromised. Or if HR gets sent a phishing email and information necessary to business operations gets held for ransomware. 


Employees should know how to recognize suspicious activity and, just as importantly, who to contact when something doesn’t look right.


4. Build a Backup and Recovery Plan Around the Business


Having backups is important. Knowing how quickly you can recover from those backups is even more important.


Manufacturers should be able to identify which systems and data need to be restored first following an outage.


For example, restoring an executive's archived files might be less urgent than restoring the system employees need to keep production moving.


Your recovery plan should answer a few straightforward questions:


  • What are we backing up?

  • How frequently are we backing it up?

  • Where are those backups stored?

  • When were they last tested?

  • How long would it take to restore our critical systems?


Which is why it's important that backups be tested regularly. You do not want to discover during an emergency that a backup has not been working properly.


The goal is not only to backup your data, but also to have a recovery plan that supports the operational priorities of the business.


5. Have a Clear Plan When IT Problems Happen


Even well-maintained technology can fail.


The difference is how prepared your company is when it happens.


Employees should know exactly who to contact when an IT problem affects production. Your IT provider should also understand which systems need priority.


A basic response should look like this:


Identify ➡️ Isolate ➡️ Resolve ➡️ Recover ➡️ Review


First, identify what happened and how much of the operation is affected. Next, isolate the problem when necessary so it does not spread. Then, resolve the underlying issue, recover any of the affected systems, and review what happened afterward.

 Ask:

  • What happens when a production critical problem is reported?

  • Who answers the call?

  •  How quickly does someone respond?
